Keeper Help
Welcome to Keeper help. This is a hypertext help file, so it displays in your browser just like a regular web page. You do not have to close the help file to continue using Keeper unless you want to. You don't have to be online to use the help file.
Because this help file is a web page, you can click on the links in the help file to explore other topics. The links are always underlined and in a different color than the regular text.
You can also use the Forward and Back buttons in your browser to navigate.
The help file is organized like a tree. Each topic can have other topics beneath it. What you see at the top of each page is a row of links which show where you are and can take you back up the levels of the tree, or all the way back to the top, which is where you are right now.
If you want to search for a word or term in the help file, hit the keys Ctrl+F to display the search form. From there you can type any text to search on. The search only looks downward from where your cursor is, so if you want to search the entire file, remember to start at the top and click on the text to set your cursor there.
Most of the buttons and other controls in Keeper will display short descriptions of what they do if you hover over them with your mouse pointer.

Start Here - What Is On The Screen
To begin with, its worth taking a minute to describe what you see on your screen.
At the top is the title bar. This is worth looking at because it tells you information such as what collection you are looking at, and how many items are displayed. You can have more than one collection, and, not all the items are displayed at once if your collection is large. So the title bar will say "Displaying items 50-250 of 1000", for example.
If you want to exit, you can click the X on the right side of the title bar.
Just below the title bar is the main menu. Many operations can be done from the main menu. Click here to find out more about the main menu choices.
Just below the menu is the toolbar. If you hover your mouse over each toolbar button, it will display a text hint showing what you can use it for. Click here to get a list of all the toolbar buttons.
Just below the toolbar you will see a row of tabs. Each tab you click on, displays a different page of buttons, panels and other controls that let you build your collection, import items, and create and print reports.

To create a collection, click the Create New Collection Menu Item, which is found on the Collection Menu section of the main menu

Start Here - Customize Your Field Names
Before you start entering items in your collection, it is important to give some thought to what columns ( fields ) you want to track.
You get default field names, but you can change any or all of the field names, plus the data types for each field name ( text, dates, money, etc ).
To do this, choose the Field Names Menu Item to bring up the Field Names Form.
Clicking on the link here to the Field Names Form will provide all the information you need to set up your field names.

Now that you have customized your field names, it is time to add an item.
To add an item, make sure you are on the Collection Tab, then choose the Add Item Toolbar Button, which looks like a plus sign.
This will bring up the Add Item Form.

How To Create A Collection
To create a collection, click the Create New Collection Menu Item, which is found on the Collection Menu section of the main menu

How To Add An Item
To add an item, make sure you are on the Collection Tab, then choose the Add Item Toolbar Button, which looks like a plus sign.
This will bring up the Add Item Form.
Just fill in the information for the item you want to add, and click OK.

How To Back Up Your Data
All the relevant files in Keeper are kept in one place, a directory called Keeper2 on the c: drive of your computer.
This includes the database, keeper.mdb, which contains all of your collections. It also includes any report layout styles or custom report layouts you have saved, as well as the executables and help files needed to run the program.
So if you copy the directory c:\Keeper2 to an removable device such as a writeable cd, you have backed up all your work in Keeper. It is a good idea to do this from time to time.

How To Import An Ebay Item
To import an Ebay item, first click on the Ebay Import Tab from the row of tabs near the top.
Then click the Ebay button on the tab to show the Ebay home page.
The Ebay page will show on an embedded browser that is internal to Keeper. You cannot import items from a separate browser.
Once you have found your item, click the Import button. This will display the Add Item Form which shows the new item with the imported values filled in. These are the item name, description, seller name, price, and ebay item number.
Make any changes you want, and then click OK to save the item.
To save the ebay pictures of your item, click the Ebay Import Tab Get Pic Button and drag a box around the area of the picture you want to save. The Import Picture Form will appear which will allow you to accept or reject the picture. Do this as many times as necessary to grab all the pictures you need.

How To Draw Custom Reports
All drawing of custom reports takes place on the Custom Reports Tab. Custom reports let you design your own report layouts where you can have precise control over the fonts, colors, borders, and size and placement of the pictures and text. Using The Mouse
In Keeper Custom Reports, almost all of your drawing and editing is done with the mouse. So this section will review basic mouse techniques.
There are several different tools you can use to perform different tasks. The mouse pointer will change shape to help let you know what tool you have chosen.

Mouse Click
To click on an object ( a drawing shape or data field ) is to position the mouse pointer over that object and click once ( press and release ) with the left mouse button.
You can select drawing shapes or data fields by clicking on them. If you hold down the Shift key or the Ctrl key, it will not deselect shapes that are already selected. This allows you to select more than one object by using the Shift or Ctrl key when you click on them.
When clicking on drawing shapes, you have to click on the OUTLINE of the form, not the area in its middle. When you click on a data object ( field or picture ), you can click anywhere on the cast member shape.

Mouse Double Click
To double click is to click twice in rapid succesion with the left mouse button.
You can double click on a point handle of a curve or polygon to delete the point.
You can double click on a segment of a curve or polygon to add a point.
You always double click to end when you are drawing a polygon or a curve.

Mouse Dragging
Dragging objects is a way to move objects around the screen or change their shape when you are drawing custom reports.
To drag an object, position it over the shape or data field and press and hold down with the left mouse button, then move the object to where you want it to go and release the mouse button.
For drawing shapes, you have to drag the outline of the shape. For data objects ( pictures or fields ), you can drag anywhere within the outlines of the object.

Mouse Right Click
If you right click on a shape or data object, you get a popup menu of option that allow you to change its properties or perform other actions.
To right click on an object is to position the mouse pointer over that object and click once ( press and release ) with the right mouse button.
When clicking on shapes, you have to click on the OUTLINE of the form, not the area in its middle. When you click on a data object, you can click anywhere within the rectangle.

Mouse Rollover
Keeper has rollover colors to let you know when your mouse pointer is over a drawing shape or handle.
When your mouse is positioned over the form outline or the form handles, they turn a different color. This makes it easier to see where to position your mouse pointer when you want to select and move shapes.

Mouse Hover
To Hover is to position the mouse over an area and leave it in one place. Many of the buttons, fields and panels in Keeper will display information about what they are used for, if you hover over them with the mouse.

Choosing A Page Layout
All drawing of custom reports takes place on the Custom Reports Tab. Custom reports let you design your own report layouts where you can have precise control over the fonts, colors, borders, and size and placement of the pictures and text. To make a custom report, first click over to the Custom Reports Tab by clicking the tab at the top labelled Custom Reports.
On the custom reports tab, there is an empty area in the middle which is your drawing area. You design a report layout for a single page, and then that layout gets repeated for all the pages in your report, filling in data for different items as it prints.
You can design your report for portrait mode ( page is upright like a book ), or landscape mode ( the page is on its side, like a landscape painting ). To switch between landscape mode and portrait mode, check either the "Portrait" or "Landscape" radio buttons on the upper right of the Custom Reports Tab

Drawing Data Objects
You can draw data objects ( fields ) in the open area on the Custom Reports Tab. These fields get filled in with data (either text or pictures ) for each item in your collection when you print a report.
Data objects ( picture fields or text fields ) are rectangular. To draw a text field, first click the Toolbar button for text fields ( Add Fields Toolbar Button ), which looks like a column of horizontal bars.
Then drag your mouse from one corner to the opposite corner of the place where you want the field to appear on your report. Don't worry if you don't get the positioning just right, because you can change it later on.
Drawing a picture field is done exactly the same way, except you click on the Add Pictures Toolbar Button, which looks like a picture of a sun in a blue sky.

When selected, the text field object has 6 square size handles. The corner handles change the horizontal size and vertical size simultaneously. The 2 side handles change only the horizontal size. The top and bottom handles change only the vertical size.

To draw the field in the report window, click and drag the mouse from one corner or the rectangle to the opposite corner. You can change the size of the field by dragging the handles on the sides and corners.

Drawing Picture Fields

Drawing Shapes
You can draw form shapes which can hold cast members.
The shapes are chosen by using the shape toolbar buttons at the top.
All the shape toolbar buttons look like the shapes they represent.
To draw a shape, you click on the toolbar button that represents that shape, and then draw it in the report window.

Rectangle Shape

Ellipse Shape

Polygon Shape
To make this shape, select the Draw Polygon Toolbar Button and click once for each point you want to add. For the last point, Double Click to end the polygon.
You can also make a polygon by dragging the mouse over the field.
You can combine the two techniques above when making your polygon.
When selected, polygons have a round point handle for every point on the polygon. If you double click on a round point handle, it deletes the point. If you double click on a segment, it adds a point to that segment.
You can drag the round point handles to change the shape of the polygon.
When selected, this shape has 6 square size handles on the sides and corners. You can scale the polygon size using the corner and side handles. The corner handles change the horizontal size and vertical size simultaneously. The 2 side handles change only the horizontal size. The top and bottom handles change only the vertical size.

Closed Polygon Shape
This shape is exactly like the polygon shape except that it automatically closes the polygon when you are finished, by adding a point back at the beginning. Closed polygons can be filled with a color on the inside of their boundary.
To make this shape, select the Draw Closed Polygon Toolbar Button and click once for each point you want to add. For the last point, Double Click to end the polygon.
You can also make a polygon by dragging the mouse over the field.
You can combine the two techniques above when making your polygon.
When selected, polygons have a round point handle for every point on the polygon. If you double click on a round ponit handle, it deletes the point. If you double click on a segment, it adds a point to that segment.

Line Shape
To draw a line, click the Draw Polygon Toolbar Button and draw a polygon with only two points.
Click once for the beginning point and then double click in a different spot to finish the polygon.
This shape will have 6 Size Handles which you can drag to position the line anywhere and in any direction you want it to go.

Curve Shape
To draw a curve, first draw a polygon using the Draw Polygon Toolbar Button
Then, right click on the polygon to bring up the Shape Properties Form, and click the radio button for curve to change the shape to a curve.
You can edit the curve the same way you would edit a polygon.

Selecting Items
To select a shape or field, your current tool needs to be the Selection tool, which looks like an arrowhead. You can choose it by using the Select Pointer Toolbar Button from the toolbar.
All the toolbar buttons will display a message telling what they are for, if you hover over them with the mouse.
To select a shape, click on it with the mouse. You have to click on the outline of the shape, not in its middle.
When you select a shape by clicking on it, all the other shape become unselected. If you hold down the shift key however, the other shape don't become unselected. So to select multiple shapes or fields, hold down the shift key when you click.
Another way to select multiple objects is to drag a box which encloses those objects. You can drag a box on the field using the Selection tool. Any forms which are completely within the box will be selected. Just drag from one corner to the opposite corner of the area you want to select.
If you right click on an obect, it becomes the only form selected. You will see a popup menu then. The commands on the popup menu only apply to the one object you right-clicked on.

Shape Handles
Handles are small squares or circles on a shape or field that you can drag in order to change its shape.
Handles change color when you roll over them with the mouse pointer, which helps you see where to click and drag them.
There are two types of handles used in this program:
                    Size Handles
                    Point Handles

Size Handles
Size handles are the small squares that appear on the selected forms on your drawing. You can drag the handles around with the mouse to change the size, shape, and location of your forms.
Size handles appear on the corners and sides of a shape. There are 8 size handles, one on each corner and one in the middle of each side.

Point Handles
Curves and Polygons have round Point Handles which you can drag with your mouse in order to change the shape of the curve or polygon.
Handles turn a different color when you roll over them with your mouse. This helps you to click and drag them.
If you double click on a point handle, it deletes it.
If you want to add a new point handle, double click on a segment of the curve or polygon.

Moving Items
You move a shape by clicking and dragging on its outline.
You can move a data object by clicking and dragging on the interior of the object.
You cannot move a shape or a field unless it is first selected.
You can select more than one object and move them all as a group by dragging on any one of the selected items.
Objects can only be moved using the selection tool chosen by clicking the Select Pointer Toolbar Button

Editing Item Size And Shape
After an object is drawn in the report window, you can change its position and shape.
An object must be selected using the selection tool, available by clicking on the Select Pointer Toolbar Button. See Selecting Items for more on this.
Once selected, just click and drag to move the item. Click on the edges for shape items, the interior for fields or pictures.
All items have handles which you can use to change their size and shape. All objects have 8 Size Handles you can drag to change the width and height of the object.
Polygons and curves also have round Point Handles which you can drag to change the path of the polygon or curve. Double click a point handle to delete it, or double click a segment to add a new point handle.

Setting Properties
You can right click on an object in the report window to change its properties.
A popup menu will appear from which you can choose the "properties" menu item to display a properties form you can use to change the properties.
If you right click on a shape, you get the Shape Properties Form, which allows you to change the colors, fill, outline thickness, and shape of an item.
If you right click on a picture or text field, you get the Custom Report Item Properties Form, which allows you to choose which picture, header, or text value the item will display as well as colors, frames, fonts, and much more.

Zooming and Panning
You can zoom in to see your drawing in a larger size, or zoom out to see more of your drawing.
To zoom in or out, use these toolbar buttons:
Zoom In Toolbar Button -- Looks like a magnifying glass with a plus sign.
Zoom Normal Toolbar Button -- Looks like a magnifying glass with an equals sign. Brings your drawing back to normal size.
Zoom Out Toolbar Button -- Looks like a magnifying glass with a minus sign.
When zoomed in, you may want to slide the drawing around to bring different parts of it into view. You can use the slider tool to do this. Choose the slider tool by clicking on the Slider Toolbar Button, which looks like a four-headed arrow.

Tabs
The row of tabs below the toolbar take you to different tab pages which contain buttons, panels and other controls that let you maintain your collection, import Ebay items, and create and print reports. Here is a list of the tabs. Click on each link to discover what the tabs do:

Collection Tab
This is the main tab where you add, delete or change items in your collection.
You have up to 3 panels in this tab. One panel shows a list of your collection items with column headers at the top. A second panel shows a table which displays details about the current item you have selected in the list. A third panel shows the pictures for the currently selected item, along with a list of thumbnails you can click to choose which picture to display.
You see a button in the middle of the panels which you can slide back and forth with your mouse. This allows you to change the relative size of the three panels.
You can change the position and orientation of the three panels by choosing the radio buttons near the top which say "View 1", "View 2", etc.
You will see a row of buttons just under the tabs. The first four buttons are labelled "Top", "Up", "Down", and "End." In Keeper, you may have hundreds or even thousands of items in your collection. But only a certain number are displayed in the list at any one time. This number defaults to 200. To change the number, use the Settings Form from the Settings Menu Item.
If your collection has, for example,1000 items, when you open it Keeper will show the first 200 items. To see the next 200 items, hit the "Down" button. To see the previous 200 items, hit the "Up" button. Hit the "Top" button to go to the first 200 items, and the "End" button to see the last 200 items in your collection.
The next two buttons are for searching and sorting your collection. If you hit the Search button, the Search And Sort Form will appear. If you want to search for particular values, fill in the values you want to search for in the fields. Check the boxes beside each column name to sort the collection on that column either up or down.
Press the "Show All" button to cancel the search and show all the items in the collection.
The last 4 buttons allow you to add, delete, or change items.
Many of the functions available from the panel buttons are also available from the main menu and from the Toolbar.

Collection Tab Search Button
This button displays the Search And Sort Form which lets you search for values in your collection.

Collection Tab Show All Button
Clicking this button will show all the items in your collection. If you have a search in effect, this will ignore the search and show you all your items.

Collection Tab Add Button
This button displays the Add Item Form to let you add a new item.

Collection Tab Delete Button
This button lets you delete selected items in the list.
To delete items, select the items in the list by clicking on them and then click the Delete button.

Collection Tab Change Button
To use this button, select one item in the list by clicking on it, and then click the Change button. This will display the Change Item Form for that item, which allows you to make changes to the item.

Collection Tab Clone Button
This button on the Collection Tab allows you to make a similar copy of an existing item.
To use the button, select one item in the list by clicking on it, then click the Clone button. This will display the Clone Item Form which allows you to make changes to the new item and save it.

Collection Tab View Radio Buttons
There is a series of radio buttons on the Collection Tab which allows you to allter which panels are displayed.
There are 3 possible panels - a list of items, a detail panel showing a table of values for the currently selected list item, and a picture panel showing the pictures for the currently selected item.
You can move the dividers between the panels by dragging the size button at the junction of the 3 panels.
However you can change the order of display for the 3 panels, or even which ones are displayed, by clicking the radio buttons labeled "View 1", "View 2", etc.

Collection Tab Detail Panel
This panel displays a table with selected values from the currently selected item in your collection.
The layout of the table is determined by the selected layout in the Collection Tab Detail Layout Dropdown
You can influence which fields are displayed in this detail panel by using the Reportable Fields Form. Only reportable fields are displayed in the detail panel.

Collection Tab Detail Layout Dropdown
You can select different layout types from this dropdown which determine the layout of the content in the details panel of your collection tab.
If you have selected a layout in this control, you can use the up or down arrows to select different ones in the list.

Collection Tab Thumbnail Panels
The picture panel on the Collection Tab shows the pictures for the currently selected item. It has one larger picture and 6 thumbnails below that. Click on the thumbnail panels to choose what picture is displayed in the larger panel.

Collection Tab Divider Button
There is a button at the junction of the 3 panels on the Collection Tab. You can drag this button with the mouse to change the relative size of the panels.

Reports Tab
This tab lets you design reports for your collection in a table format. A table showing the current item displays in the browser window on the reports tab. Using the controls on the Reports tab, you can change the layout, appearance and content of the report until it looks the way you want, and then send the report to your printer using the Print button.
Once you have designed a report style you like, you can save it with a name so that you can merely open up that report style the next time you want to use it. You can save as many report styles as you want.

This drop down list allows you to choose from among a list of pre-defined report layouts. You can also use the up-down arrows to choose among the items in this drop down, if you click on it first.
The layouts position the headers, values, and pictures of your report in different arrangements. Once you find the one that suits your purpose, you can further customize it with widths, fonts, colors, etc. and then save it to a file for future use.

Reports Tab Save Button
This button allows you to save the current report style to a file for future use. The report style includes the layout you chose, along with any fonts, colors, widths etc. that you used to customize your report.
When you click the save button, the Save Report Style Form will be displayed, which allows you to give a name to your report style.
